London Fashion Week transport often involves several guests, changing show schedules, hotel collections, studios, showrooms, fittings and evening events. This checklist is designed for personal assistants, production teams, brands and guest managers preparing the practical information needed for chauffeur travel.
Create One Master Schedule
List every confirmed collection point, venue, appointment and required arrival time in one document. Include hotels, show venues, studios, restaurants, airports and the final destination. Mark fixed appointments separately from flexible stops so the transport team can understand which timings cannot move.
Use one authorised organiser to approve changes. Guests, stylists, publicists and venue teams may all hold different versions of the programme, so a single confirmed itinerary reduces conflicting instructions on the day.
Confirm Every Passenger and Contact
Provide each lead passenger’s name and mobile number, plus the organiser’s contact details. If several guests are travelling separately, identify who belongs in each vehicle and whether everyone must arrive together.
For VIP guests, share information only with the people who need it to coordinate the journey. If a brand or agency has a specific confidentiality procedure, provide it before the booking for review.
Add Venue and Accreditation Details
Fashion Week venues may have restricted entrances, security checks, accreditation controls and limited stopping space. Supply the entrance name, loading instructions, vehicle access pass and venue contact whenever these have been issued by the organiser.
A chauffeur may need to use a legal nearby waiting point rather than remain directly outside the entrance. Confirm how the guest or authorised assistant will signal that they are ready for collection.

For private aviation, provide the airport, FBO or private terminal and aircraft details supplied by the flight organiser. Garment bags, sample cases and production equipment must be included when checking luggage capacity.
Match Vehicles to Guests, Garments and Equipment
A premium saloon may suit an individual guest travelling with limited luggage. A Mercedes V-Class can be more practical for a small team, several garment bags, cases or equipment. Passenger seats and luggage space must be assessed together rather than relying only on the advertised passenger capacity.
If a group requires several vehicles, number each vehicle and assign passengers before travel. Give every driver and coordinator the same itinerary version.
Allow for Schedule Changes
Shows, fittings and press appointments can finish later than expected. An hourly or full-day booking may provide more flexibility than separate point-to-point transfers, but changes remain subject to the confirmed booking hours, legal stopping places and vehicle availability.
Send updates through the authorised organiser. Additional hours, mileage and parking should be recorded and charged according to the agreed booking terms.
